This Privacy Policy explains how we collect, use, store and protect personal information when you visit our website, contact us, request a resource, subscribe to our mailing list or book or attend a course.

2. Information we collect

Depending on how you interact with us, we may collect:

  • your name;

  • email address and telephone number;

  • school, organisation, role or job title;

  • course bookings, attendance and payment status;

  • billing or invoicing information;

  • information provided through contact forms, pre-course questionnaires, feedback forms or correspondence;

  • resource requests and mailing-list preferences;

  • feedback, reviews and testimonial permissions;

  • limited information provided in connection with a transfer or extenuating-circumstances request;

  • technical information including your IP address, browser, device, pages visited, referral source and cookie preferences.

Payments are processed through the secure payment provider available at checkout. We do not normally receive or store complete payment-card numbers or card security codes.

3. How we obtain information

We normally receive personal information directly from you when you:

  • submit a form on our website;

  • book or attend a course;

  • request a free resource;

  • subscribe to receive news or resources;

  • contact us by email or through the website;

  • complete a questionnaire or feedback form; or

  • communicate with us before or after a course.

A school, employer or colleague may sometimes provide your name and contact details when booking a course on your behalf. Where this happens, we use the information only to administer and deliver the booking and related services.

4. How and why we use personal information

We use personal information only where we have a lawful reason to do so. The ways we use it and the relevant lawful bases are explained below.

4.1 Enquiries and free resources

We use your contact details to respond to enquiries and provide resources you have requested. We do this because it is in our legitimate interests to respond to potential customers and provide useful professional resources.

4.2 Bookings, payments and invoices

We use booking, contact and payment information to process course bookings, confirm places, arrange invoices and maintain payment records. This is necessary to take steps before entering into a contract, fulfil our contract with you and comply with our legal and financial obligations.

4.3 Course administration and delivery

We use participant information to send joining instructions, deliver courses, provide resources or certificates and offer course-related support. This is normally necessary to fulfil our contract with you.

Where a school or organisation books on a participant’s behalf, we may rely on our legitimate interests in administering and delivering the course.

4.4 Pre-course questionnaires

We use information from pre-course questionnaires to understand participants’ experience and tailor our training appropriately. We do this to fulfil our contract and because it is in our legitimate interests to provide relevant and effective professional development.

4.5 Business and accounting records

We retain appropriate booking, invoice and payment records to meet our tax, accounting and other legal obligations.

4.6 Marketing communications

We may send information about courses, resources and professional-development opportunities where you have given consent or where the law permits us to contact existing customers about similar services.

You can unsubscribe or object to marketing at any time.

4.7 Feedback and testimonials

We use course feedback to evaluate and improve our services. This is in our legitimate interests as a training provider.

We will only publish a testimonial with your name, role, school or other identifying information where you have given permission. You may withdraw this permission at any time.

4.8 Website security and analytics

We use limited technical information to maintain the security and effective operation of our website, prevent misuse and resolve technical problems. This is in our legitimate interests.

We use non-essential analytics or marketing cookies only where you have given consent through our cookie-preference tool.

4.9 Legal rights and obligations

We may use personal information where necessary to comply with a legal obligation or to establish, exercise or defend legal rights.

Where we rely on legitimate interests, we consider whether our use of the information is necessary and proportionate and balance our interests against your rights and interests.

5. Marketing communications

We may send information about Drama Teaching Mastery courses, resources and related professional-development opportunities where:

  • you have actively agreed to receive it; or

  • the law allows us to contact an existing customer about similar services and we provided an opportunity to opt out.

Requesting a resource or contacting us does not automatically subscribe you to marketing unless this is made clear and you have been given an appropriate choice.

Every marketing email will include an unsubscribe option. You can also withdraw your consent or object to marketing at any time by emailing dramateachingmastery@gmail.com.

Withdrawing from marketing will not affect essential messages concerning an existing booking.

6. Special-category information

We do not normally request sensitive personal information, such as detailed health information.

If you request a transfer because of illness or another extenuating circumstance, please provide only the minimum information necessary. Where we need to use health information, we will normally rely on your explicit consent and will delete the information as soon as it is no longer required.

Please do not send identifiable information about pupils through our forms, questionnaires or emails. Questions or examples relating to students should be appropriately anonymised.

7. Who we share information with

Where necessary, personal information may be processed by:

  • Wix, which provides our website, forms, bookings, contact-management, email and analytics services;

  • the secure payment provider displayed during checkout;

  • Google services used for email, forms, documents and file storage;

  • Zoom, where it is used to deliver an online course;

  • Padlet, where course resources are provided through that platform;

  • trainers or associates working on behalf of Drama Teaching Mastery;

  • accountants, insurers and professional advisers;

  • HM Revenue & Customs, courts, regulators or other authorities where required by law.

These organisations receive only the information reasonably necessary to provide their service or fulfil the relevant purpose.

Some providers may also process information as separate controllers under their own privacy policies.

We do not sell personal information or provide mailing lists to other organisations for their own marketing.

8. International data transfers

Some of our service providers operate internationally and may process information outside the United Kingdom.

Where personal information is transferred internationally, we take reasonable steps to ensure an appropriate safeguard is used. This may include a UK adequacy regulation, the UK International Data Transfer Agreement, the UK Addendum to approved standard contractual clauses or another safeguard permitted by data-protection law.

9. How long we keep information

We keep personal information only for as long as it is reasonably required.

Our usual retention periods are:

  • Unsuccessful enquiries: normally up to 12 months after the last meaningful contact;

  • Free-resource requests not connected with marketing: normally up to 12 months;

  • Course-administration correspondence and attendance information: normally up to three years after the course;

  • Invoices, payments and accounting records: normally six years after the end of the relevant financial year;

  • Marketing information: until you unsubscribe, withdraw consent or the information is no longer reasonably required; we review inactive contacts periodically;

  • Unsubscribe records: for as long as necessary to ensure that we respect your request;

  • Feedback and testimonial permissions: while the feedback remains relevant or is being used, unless permission is withdrawn;

  • Sensitive information supplied for an extenuating-circumstances request: deleted once the request has been resolved and normally within six months;

  • Cookie and website-analytics information: according to the duration shown in our Cookie Policy and cookie-preference tool.

Information may be kept for longer where this is necessary to meet a legal obligation or establish, exercise or defend a legal claim.

10. How we protect information

We use reasonable technical and organisational measures to protect personal information. These include restricting access, using password-protected accounts, keeping software and services updated and using established website, payment and communication providers.

No method of transmitting or storing information is completely secure, but we take appropriate steps based on the nature of the information and the risks involved.

11. Your rights

Depending on the circumstances, you may have the right to:

  • ask for a copy of your personal information;

  • have inaccurate or incomplete information corrected;

  • ask for information to be deleted;

  • ask us to restrict how information is used;

  • object to certain uses of your information, including direct marketing;

  • receive certain information in a portable format;

  • withdraw consent at any time where consent is our lawful basis; and

  • complain about how we have handled your information.

These rights are subject to legal conditions and exemptions.

To exercise a right, contact dramateachingmastery@gmail.com. We may need to verify your identity before responding.

12. Children’s information

Our website and courses are intended for teachers, schools and education professionals. We do not knowingly collect personal information directly from children through the website.

Course discussions, questionnaires and correspondence should not include identifiable pupil information.

13. Complaints

Please contact us first if you have concerns about how we have handled your personal information. We will make reasonable efforts to resolve the matter.
